Understanding the roles of the account owner and account managers in Accounts Payable

Every Accounts Payable account has two types of roles, each with different permissions. These roles are:

  • Account owner 
  • Account manager 

These roles are set in the Capital One portal.

Account Owner

The account owner role is set up in Capital One’s portal and is the person who created the account. There is only one owner of an Accounts Payable account. 

Account owners have a specific Capital One Business card, and within Accounts Payable, they can add additional cards and bank accounts. They can only view and use payment methods they added themselves. 

They can see, delete, and cancel scheduled payments and bills created by anyone but only edit scheduled payments they made.

Account manager

There can be more than one account manager whose role is set up in Capital One’s portal by the account owner. 

Within Accounts Payable, account managers can add Capital One Business cards, debit cards, and bank accounts. They can only view and use payment methods they added themselves. 

They can see, delete, and cancel scheduled payments and bills created by anyone but only edit scheduled payments they made.

How to check your account role

You can check the role assigned to you in the Capital One portal.
You’ll also see it in your account. To see your role from within your account, please follow the steps below:

1 - Sign in to Accounts Payable and go to Settings.

2 - Select Settings.

3 - From the Settings menu, select Profile settings.

4 - On the right side of the screen, you can see your details under Role

What do the different roles see during bill payment?

When making a bill payment, you’re asked to select a payment method. Depending on your role, here is what you will see:

  • Both the account owner and the account manager can only view and use the Capital One Business card that was added by them.
  • Both the account owner and the account manager can add another Capital One Business card, debit card, or bank account manually.
